A Note To Parents
  As the 2008 Camp season approaches there are many details to be considered in preparation for your daughter's summer. This information will simplify your preparation for camp, be a handy reference and answer your questions as they may arise. All details concerning camp are summarized here.

We have posted on the website various forms which need to be filled out, signed by you and returned as soon as possible, but in no case later than the date specified. This information will enable us to fully understand your objectives as they relate to your daughter.

Should you have any questions which are not covered, or should you need further clarification of any of the information below, please do not hesitate to communicate with us.

  Important Dates To Remember

  Policies
  An important part of our camp living experience relates to an understanding of our policies and regulations. Please ensure that your daughter understands what is expected of her and why we have rules and regulations. We ask for your full cooperation in following our policies, especially as they pertain to respect, food, phone calls, visiting, cell phones, packages and valuable items.

Behavioral Protocol: Respectful behavior is expected between all people at camp. This means between campers, between campers and staff and between all staff.

Gratuities: Parents should not tip staff members at Point O'Pines. Our staff members are well aware of this policy and understand that they are receiving a generous salary and should not accept tips or gifts from parents. The acceptance of any tip or gift means immediate dismissal for the staff member without exception. Please protect our staff members by not offering gratuities which tempt them with a violation of this policy.

Money at Camp: Your daughter does not require money at camp. She will be given a sufficient amount of spending money to cover her personal needs on any trips outside of camp. We cannot assume responsibility for money kept in bunks. We make our camp safe available for any funds which might be needed by girls with special pre-camp or post-camp travel requirements. Withdrawals from the camp safe must be made at specified times.

Cellular Phones: Campers are not allowed to bring cellular phones to camp.

Valuables: Although the Directors make every effort to safeguard the belongings of every camper, camp cannot be responsible for camper's personal property. We do not recommend that valuable items be brought to camp. Items such as electronic games, expensive cameras, radios, CD players etc. are not required, may be broken, misplaced or taken and are, therefore, not included on our camp packing list.

Food: It is permitted to bring a limited amount of candy or fruit to camp on your daughter's Visiting Day. The amount must be consumable on Visiting Day as any excess is destroyed after Visiting Day. Please help us to keep your daughter healthy following Visiting Day by limiting the amount of candy and sweets that you bring to Camp. Our biggest problem following visiting is infirmary visits induced by too much candy and sweets brought into camp. It is against camp rules to send candy or food to camp or to include it in your daughter's trunk. Your compliance with this regulation will help us to maintain your child's health and avoid bugs and animals in the bunks. Our girls have a healthy, well-balanced diet and receive a reasonable amount of candy and plenty of fresh fruits. All foods and candy packages received at camp are confiscated and their contents discarded.

Bunk Gifts: You may, of course, bring a gift for your daughter on Visiting Day. In order to maintain the atmosphere of equality in camp, gifts for girls other than your daughter are not permitted. Your adherence to this policy will avoid potential embarrassment. Bunk gifts will be confiscated in order that all of our girls receive equal treatment from bunk parents.

  Baggage
 

New York metropolitan area baggage will be picked up directly at the camper's home and transported to camp.

Distant families may ship baggage to accompany a camper arriving by air or they may ship baggage by UPS, Fed Ex., etc. We will have a truck at the Albany airport on opening day to transport baggage accompanying air transport campers to camp.

Our baggage company will be communicating with you directly regarding all tags, other necessary information and baggage pick-up dates. Should any problems or baggage questions arise, please contact:

Besides handling luggage for the New York metropolitan area, Camp Trucking, Inc. also services Massachusetts, Rhode Island, Connecticut, Pennsylvania, Maryland, Florida, District of Columbia, Virginia and Ohio.

We are able to open standard truck locks. However, if you are using your own lock on any baggage, please send an extra set of keys directly to camp properly identified with the camper's name and group. These keys will be returned to you at the end of camp. The baggage of Ti's through Jr. Bs will be unpacked for them prior to their arrival.

Since camp supplies all blankets and linens, one trunk or large duffle bag should easily hold all clothing and equipment.

NOTE: Please do not have campers carry large pieces of luggage on the buses either to or from Camp. Everything should be packed in the trunk or duffle except for some games, books or a special stuffed animal that your daughter may want to have on the bus.

Trunks and duffles should have the girl's name stenciled or written in large letters for easy identification.

  Mail & Packages
 

Mail: One of the great camp pleasures is mail call. Please be assured that your daughter will participate in regular letter writing. Your frequent letters are a welcome part of camp life. Please write as often as possible. To facilitate the distribution of mail, please specify your daughter's bunk number in the lower left hand corner of all envelopes. Your daughter will advise you of her bunk number in her first letter home.

Packages: (Remember, no food). All packages are inspected to ensure that food of candy is not received by campers. Please limit the number of packages sent to campers to one. Please help us make the receipt of packages a special event. More frequent packages create a competitive feeling among the campers that can result in disappointment for your daughter. Should you have a need to send an additional package, please notify our camp office.

Pre-Addressed Stamped Envelopes: Parents should be sure that each girl has an adequate supply of stationery and ball point pens. Pre-addressed stamped envelopes are especially handy for our younger girls. An adequate supply of stamps should be sent with your daughter as stamps are not available in our canteen. Your daughter will be requested to write a minimum of 3 letters home a week.

  Phone Calls
 

Our camp environment is a happy, self-contained little community. Phone calls often create a sudden intrusion causing campers to experience feelings which override the good intentions that have motivated the phone call. We always try to be aware of our camper's feelings and sentiments following a phone call. A short periodic call creates a happy experience and upbeat conversations are encouraged. Parents need to telephone camp in advance to arrange phone call appointments. Telephone call appointments can be made through our office staff beginning June 17th. Please limit phone calls per our camp
policy below:

  1. Avoid calling camp for the purpose of speaking to your daughter during
    the first 10 days of Camp.
  2. Limit phone calls to three for the summer season.
  3. Limit the duration of phone calls to a maximum period of five minutes.

Our policy is in the best interest of your daughter and your compliance is greatly appreciated. The Camp Directors and Area Heads are available to speak with you at any time, not only during the first week, but throughout the summer. During the evening of the first week of camp, we telephone all parents of new campers to advise you of your daughter's adjustment to camp and her bunk assignment. Please expect our call.

An exception to our phone rule is made for a mother's, father's or camper's birthday. This extra phone call needs to be booked by the parents in the same manner as a regular camper's call. Campers are permitted an extra phone call in the event of an overnight stay in the infirmary. Camp staff will make every effort to contact parents in the event that medication, other than of a routine minor nature, is administered to a camper by infirmary staff.

Older campers (Seniors and Peakers) are permitted more flexibility with respect to telephone usage. You may wish to clarify your feelings on telephone charges directly with your daughter before her departure for camp.

To Make a Phone Appointment: Please contact our office staff, (from 8:00 A.M. to 8:00 P.M.), to arrange a convenient time for your daughter to call you back collect during hours indicated below.

1:00 to 1:50 P.M. (Rest hour after lunch)
6:45 to 7:25 P.M. (After dinner, before evening activities)

On occasion, we may have to call and reschedule your phone appointment if your daughter is involved in a special event.

We assure you that we will not hesitate to contact you if we feel it necessary or helpful for you to communicate with your daughter about any specific situation.

  Horseback Riding
  Many of our campers enjoy the opportunity to learn or to improve their horseback riding skills while at camp. We offer horseback riding as a supplement to our normal camp program at an additional charge. We recommend that horseback riding be considered as a special activity.

In order for your daughter to ride, we must have your written permission. In the January mailing, we provide a form that describes our program and asks for you to give your permission for the amount of horseback riding which you would like for your daughter. We request that each parent fill out the horseback riding form in order that we will know whether or not your daughter has permission to ride should she desire to do so during the summer.

In order for us to plan our riding schedule, we must receive your horseback riding form by April 1. If your daughter is to ride, she will require a Safety Equipment Institute (SEI) approved riding helmet with the SEI seal. This helmet complies with the ASTM Standard F1163. The protective aspects of SEI certification assures the buyer that the entire manufacturing process has been examined and that products certified have fulfilled all requirements. Please insure that your daughter has proper shoes with heels for riding. We suggest riding jodhpurs or riding tights for comfort. Our horseback riding program is English-Style and our horseback riding fee is based upon the program selected by you for your daughter.

  Tutoring
  Should your daughter require a tutor while at camp, please contact us and we will try to arrange for a counselor qualified in a particular subject to work with her during the counselor's free time, during rest periods or after dinner. If you anticipate the requirement for tutoring, please see that your daughter brings with her to camp the appropriate books recommended by her school. Tutoring is charged at $40.00 per session, which is paid directly by you to the tutor. Tutoring will not begin until the second week of camp.

  Visiting Day
  Friday, July 25th, 2008 (Ti, Jr. A, Jr. B & Inter A Campers)
Saturday, July 26th, 2008 (Inter B, Sub, Senior & Peaker Campers)

Parents with one daughter may visit one day only. Parents with two or more daughters may visit both days.

Visiting will start at 9:30 A.M. and end at 4:15 P.M. You are invited for a lunch with your daughter, which will be provided by camp. If you will bring additional guests (grandparents, etc.), please notify us. If you find it impossible to visit camp on either of these days, or need help in coordinating your visit with sons at Brant Lake Camp, please call the Directors to make special arrangements.

Parents of Seniors and Peakers only are invited to attend the Senior House dramatic performance on Saturday night, July 26th. Senior and Peaker parents must leave Camp promptly at 4:15 P.M. and may return at 7:15 P.M. At the conclusion of the show, Senior parents must immediately leave camp. Peaker parents may, however, take their daughter out of camp, returning her by midnight. (Waiver must be signed).

Please Remember Our Policies:
• Parents may not take their daughter out of camp.
• Girls may not enter parking area (for safety reasons) at any time.
• Tipping (of any kind) is not permitted.
• No pets on campus.
• No bunk gifts.
• Limit the amount of food and candy you bring to camp for your daughter.
• Leave promptly when visiting ends.

  Visits To Camp: Non-Parent Relatives
  During the summer we have many requests for special visitations to Camp by non-parent relatives. These visits are both positive and negative to the general well being of camp. Visits cause disruptions in the normal routine of Camp and can create separation and departure depression as well as emotional strain on those Campers who do not have the “extra” visitation.

Our policy, therefore, is to discourage relatives from making special visitations to Camp. We do, however, understand that grandparents and aunts and uncles often reside out of the camper's residential area and my be visiting in our area. We prefer grandparents and out of town aunts and uncles to visit by accompanying you during your daughter's scheduled Visiting Day. However, the Directors must approve these extra visitors as we have a limited capacity to accommodate extended family members on our regular visiting weekend. To ensure the security of our campers, the identity of these extra visitors must be communicated to camp prior ro Visiting Day.

If grandparents and aunts and uncles are unable to join you on your daughter's Visiting Day, we will welcome them to camp for a short, scheduled, two-hour maximum visit. Plans for the visit must be made with the Directors prior to the date of the intended visit. Camper's parents must call Camp to grant permission for the visit. Parents must also provide Camp with the name of the visitor and the relationship of the visitor to the Camper. Visits may take place either from 9:30 until 11:30 in the morning or from 1:00 to 3:00 in the afternoon. Please note that the limit for these visits is two hours even if the visitor is visiting more than one Camper. Please make sure that visitors call Camp the day before the scheduled visit to make sure that your daughter will not be leaving Camp for an athletic tournament or other special event.

All visitors must come directly to the main office to sign in upon their arrival to Camp. All visitors will be given a name tag at the office. This name tag will identify the visitor to as an approved visitor to our staff.

  Camper Medical Forms And Information

In order for our medical staff to provide the best possible care for your daughter, we must have an up to date health history and medical report from her physician. No camper will be permitted to attend camp until we have received all required forms. Reminder: make an appointment with your daughter’s physician early.

Please note the following important instructions to assist you in the completion of your daughter’s medical forms:
The medical forms enclosed in your January mailing must be completed correctly and returned to our office by dates listed below. A pre-addressed envelope was provided in our mailing for your convenience.

Due by April 1st: (please print clearly)
Health History Form: This two-sided form must be completed by a parent or guardian. Please note that parent or guardian signature is required on both sides of this form.
HIPAA Form: Authorizes Camp to receive and communicate pertinent medical information to/from relevant parties. This form must be completed and signed by parent or guardian.
Meningitis Vaccination Information and Form: Carefully read information. Meningitis Vaccination Form must be completed and signed by parent or guardian.
Copies of your daughter’s Medical Insurance ID card and Prescription Drug ID card: Make copies of both the front and back of these cards and send them in with the above forms.

Due by May:
Register any medication needs with CampMeds.
Please note this important procedure, as it is a change from previous years.
As of result of recent changes in the New York State Health Department code concerning the dispensing of medications in the camp environment, we have made the decision that all camper medications must be handled through CampMeds. In our January mailing, we provided two information sheets explaining our new medication distribution system. The information sheets provide directions on how to register with CampMeds. Go to www.campmeds.com for further information.

Note: there is a late charge if you do not register your medication orders with CampMeds before May 28th, 2008.

Due by May 15th:
Medical Examination Form: Must be completed and signed by your daughter’s physician and returned Camp.
Standard Medication Authorization Form: Must be completed and signed by your daughter’s physician and returned Camp.
Prescription Medication Authorization Form: Must be completed and signed by your daughter’s physician and returned Camp.


Important Reminders:
• All campers must have all required immunizations.
• Have your daughter’s physician (including specialists) send report of any pertinent health information to Camp.
• Camp should be advised of any contact with contagious diseases after June 12th.
• Campers with allergies to bee stings or with other severe allergies should bring their own prescribed EpiPen and should know how to use it.
• Disposable syringes should be included with any serums.
• Special Diet instructions should be sent to Camp by June 15th.
• Have dental and orthodontic work completed before Camp.
• Send 2nd pair of glasses to camp with your daughter.

Our Camp Medical Staff will be available to take your phone calls beginning June 21st, 2008. At this time all medical forms must be at camp so our medical staff can become familiar with your daughter’s medical records.
No camper will be permitted to attend camp until we have received all required forms.

Medical Insurance Information:
• All campers must be covered by medical and hospitalization insurance. If a camper is not covered by medical and hospitalization insurance, please contact the camp office for coverage options.
• Parents should note that many insurance programs have deductibles, co-payment provisions or other coverage gaps which may affect reimbursement from your carrier. Parents are responsible for these coverage gaps.
• For campers residing outside of the United States: Medical and hospitalization insurance must be valid for use in the United States and issued by a United States insurance company. If camper is not covered by medical and hospitalization insurance, please contact the camp office for coverage options.

Routine in-Camp medical needs for your daughter are covered by Camp. In the event outside medical attention is required, your daughter’s medical insurance identification card will be provided for direct billing from the outside medical facility to your insurance carrier. If the outside medical facility requires any payment, Camp will cover payment, bill you directly for such costs and provide you with relevant paperwork to aid in potential reimbursement to you from your insurance carrier. Camp expects to be repaid for any outside medical costs, including special medications provided for your daughter that are not normally stocked in our Camp Health Center.

  Departure Information
 

Departure Date: Saturday, June 28, 2008

Departure points are listed below.

  1. New York City - 9:30 A.M. - Metropolitan Museum of Art - Side entrance just south of 80th Street and Fifth Avenue.
  2. Westchester - 10:15 A.M. - Bloomingdale's – White Plains (175 Bloomingdale Road, White Plains, NY 10605). Take the Cross Westchester Expressway (I-287) towards White Plains/Rye to Exit 8W Bloomingdale Road/Westchester Mall Place. At the light, make a left onto Bloomingdale Road. Continue on Bloomingdale Road and make a left at the third light into the Bloomingdale’s parking lot. Continue to the back upper parking lot. From Connecticut, take the Cross Westchester Expressway West (I-287) to Exit 8, Westchester Avenue, White Plains/Westchester Mall Place. Continue on Westchester Avenue and follow signs to White Plains. Make left at third light onto Bloomingdale Road. Continue on Bloomingdale Road and make a left at the fourth traffic light into Bloomingdale’s parking lot. Continue to the back upper parking lot.
  3. Long Island - 9:15 A.M. - Christopher Morley Park and Golf Course, Roslyn, New York - Christopher Morley Park and Golf Course is located on Searingtown Road just north of the Long Island Expressway (LIE). From Queens take the LIE east to exit 36. Once off the exit, at the first light make a left onto Searingtown Road heading north. From Eastern Long Island take the LIE west to exit 36. Once off the exit, at the first light turn right onto Searingtown Road. From both directions, proceed north on Searingtown Road to the first light (approximately 1/4 of a mile from the LIE service road light) and turn right into Christopher Morley Park and Golf Course driveway. At the end of the driveway, turn left into the northern parking lot and park out of the way of the camp buses.
  4. Paramus, New Jersey - 10:30 A.M. - Syms Parking Lot - Syms is located on the east side of Route 17, north of both Route 4 and the Garden State Parkway.
  5. All Other - Campers from distant area must return the travel form indicating travel plans by April 1st. Please use the envelope included in your mailing.
  6. Northern New York and New England - We have assumed your daughter is being driven to camp. Please notify us if you wish for her to be met by a bus at the Albany Airport. Campers arriving by car should be at camp by 12:30 P.M. (Lunch will be served at 12:30 P.M.)

Changing Assigned Departure Point: To change your assigned departure point, please call or email the camp office no later than May 15th.

Procedure at Departure Point:

  1. Please be certain your daughter dresses in camp uniform (navy shorts or jeans and camp shirt).
  2. Provide your daughter with a picnic lunch and a drink. We will supply more drinks and dessert later during the bus ride.
  3. Please be prompt.
  4. Sign-in - There will be a responsible camp representative in charge of departure. Register your child and have her go directly to her assigned bus with her baggage.
  5. Please limit hand baggage. It is difficult for the girls to handle and space is limited. Mark everything clearly with your daughter's name.
  6. Please stay back from the boarding area after your daughter boards the bus. This will help the departure process and eliminate confusion and unnecessary strain on the campers. Your cooperation is most important and will be appreciated.
  7. Please smile and say a quick "goodbye," as this facilitates a smooth and happy departure.

Campers will return on Wednesday, August 20, 2008: You will receive an arrival bulletin with full camp closing and pick-up details. We will assume that your daughter will return home by the same means of transport as she used to arrive at camp unless you advise camp, in writing, of any changes.

  Clothing Information
 

Our camp uniform has been designed to simplify camp life. Your strict compliance with our uniform requirement will avoid unneeded and unusable clothing.

Important Packing Notes:

  1. Please note our official emblem. This is the only acceptable one. Returning campers should examine our clothing list carefully as it contains minor changes.
  2. Blue jeans may not be ragged, patched or multi-pocketed, nor should they be highly styled. No bib overalls or torn jeans or other torn clothing is permitted.
  3. Shorts may be any length. They may be either all navy or navy with a white band and/or side stripe (not royal blue). No blue jeans shorts are permitted. Camp logo is not required on shorts.
  4. Campers may bring two or three casual non-uniform outfits, which can be worn on special occasions. Campers with special talents may bring instruments, music or dance shoes, etc. for talent night. We will also have a 50's and a Western night during the summer.
  5. Older campers may include a few non-uniform shirts for wearing at socials and on some trips. No tube tops, spaghetti strap tops or cropped shirts that do not cover the stomach are permitted. Please make sure the social attire is conservative and appropriate for a camp setting.
  6. Riders must bring a Safety Equipment Institute (SEI) approved helmet with the SEI seal and appropriate shoes with a heel. We also suggest riders bring jodhpurs or riding tights.
  7. We suggest including a mouth guard and shin guards if your daughter is an avid soccer player.
  8. Campers may not wear sweatshirts or sweat pants with slogans or school names or any other clothing that is not considered uniform. Proper color sweats and/or proper color shorts with or without the Point O'Pines logo are considered to be uniform.
  9. Campers may only wear one-piece bathing suits. Bikinis and tankinis are not permitted.
  10. Special clothing is needed for an end of the summer event, Team Sing. Please refer to the Important Clothing Notes enclosure sent in the January mailing for a list of these special items.
  11. Please do not sent any collapsible crates or cardboard dressers to Camp. Campers have ample drawer and cubby space in their bunks.
  12. Do not send small bedside throw rugs or bedskirts as they collect a tremendous amount of dirt.
  13. Sleeping bags are provided for all age groups for use in our Wilderness, Adventure and Discovery (WAD) program. If your daughter is a Sub camper, she will need a sleeping bag for her group trip.
  14. Camp will provide tennis balls for all campers.
  15. If your daughter is a Ti, Junior A or small Junior B camper and does not yet have a tennis racquet, our Tennis Director recommends a Junior size racquet. All other campers should have an adult racquet (see enclosed list of recommended racquets).
  16. Only tennis shoes with soles for clay composition courts are permitted on our courts. Please be certain your daughter brings proper tennis shoes to Camp.
  17. All shoes worn for sports must have laces to prevent injury.

One of the primary reasons for a uniform camp is to eliminate the opportunity for "competitive dressing." With this in mind, we ask you to make sure that your daughter adheres to the above clothing requirements.

We also ask that you send the required amount of uniform clothing – especially for the older girls – so that campers do not run out of camp uniforms at the end of the week.

Our official camp uniform outfitter is The Cloz Companies (1-800-876-CAMP or 773-247-8879). We have selected The Cloz Companies to provide our camp uniform because of their reputation for high-quality products, prompt courteous service and reasonable pricing. You can also order clothing from the Cloz Companies' website at www.cloz.com.

When making your purchases, please keep in mind that the only items on the uniform list which must have the Point O'Pines logo is the white uniform shirt. Non-required items are offered in the Cloz catalog. Please consult the required clothing list before ordering as we have tried to limit the amount of required logo items to give you flexibility in using items that you may already have on hand or to acquire for Camp from the most reasonable source available.

Everything must be marked with your daughter's name.
This is our only means for identification and prevention of loss.

  Parent Summer Addresses and Itineraries
  For emergency needs, it is imperative that you advise us of your whereabouts for the summer, or alternatively, supply us with a temporary contact who may be reached if you are unavailable or away from home. It would be most helpful if you can provide us with a copy of itineraries in the event of your making trips.

  Canteen
  We have a variety of items needed by campers available in our canteen. We do not, however, carry stamps, film, or mailers for film because of their high cost. Please be sure to send your daughter to camp with an ample supply of these items. The cost of all camp trips in included in the all inclusinve, non-accountable canteen charge

  Any last minute instructions should be written and sent directly to camp. There will be no time for verbal instructions at the bus departure points.

  Senior House Campers
 

Special Note for Senior House Campers: We design special shirts for our Seniors and Peakers which may be worn instead of our regular uniform shirt. These are not included on our outfit list. These shirts are ordered directly from camp and will be given to the campers upon arrival. We cannot guarantee quantities or sizes of Senior House shirts ordered after March 1.
